Patient Settings Properties

Authorized users can access the Patient Settings properties by clicking on the Administration > Settings > Properties link, then clicking on the Patient Settings category heading.

To configure the settings, enable (select) or disable (deselect) the options, enter any required information, and click Save at the bottom of the page. Changes affect users the next time they log in to the application or module.

Click Reset to erase new or updated entries and reset them as they were after the last submit was done.

The options and fields on this page are as follows:

Option/Field Description

Additional Search Result Column

Select either SIIS Patient ID (default) or City to appear in the search results list, along with Patient First Name, Patient Middle Name, Patient Last Name, Birth Date, Guardian First Name, and Guardian Last Name. The remaining column is determined by this property setting. If City is selected, the city is populated based on the city value in the Patient Master table, which is the patient's city of residence on their primary address.

Allow Patient Reserve Update from Provider Mapping

Select this option to allow the reserve database records to copy over when a mapping occurs. Provider mapping is used to convert data reported by a third-party to overwrite provider data. If disabled, the data is not overwritten.

Breakout Tdap on Patient Record Summary Display

Select this option to separate Tdap from the DTaP/Td family on the Universal Certificate and Patient Record Summary. It does not change the forecast for Tdap. If this option is enabled, the following changes are seen on the core patient record summary:

  • The family name of DTaP/DT/Td/Tdap is changed to DTaP/DT/Td and no Tdap vaccine displays on this line

  • A new row for Tdap displays under the DTaP/DT/Td family called "Tdap." Only Tdap vaccine dates display.

  • The state's Universal Certificate report's family name of DTaP/DT/Td/Tdap is changed to DTaP/DT/Td and no Tdap vaccine displays on this line.

  • A new row for Tdap displays under the DTaP/DT/Td family called "Tdap." Only Tdap vaccine dates display.

Custom Search Label

Enter text to serve as the search field label on the Patient search page. This field is used in conjunction with the custom search by Organization (IRMS) Patient ID. These two fields should be configured at the same time.

Default Birth Country to United States

Select this option to allow the default setting to display "United States" versus "Select" on the Patient Demographics page.

Default Table Borders on Patient Record

Select this option to allow borderlines to appear on the Patient Record reports.

Display facility (instead of school) on Patient Detail Report

Select this option to allow the Facility name to appear on the Patient Detail Report instead of the school name.

Do Not Require Family Information for Adults

Select this option to not require family information (guardian information and mother's maiden name) when a patient's age is 19 years or older. If this option is enabled and the patient's age is 19 years or older, the following occurs:

  • On the Patient Search/Add page, the Guardian First Name and Mother's Maiden Name fields do not display as required fields.

  • When a patient over age 19 is submitted via the DTT or HL7 (Realtime) and family information (Guardian/Mother's Maiden Name) is marked as required fields, these fields are not required.

  • Patient Data Quality reports do not display Guardian Name or Mother's Maiden Name as missing values for patients over the age of 18.

Do not overwrite patient record with null values when merging

Select this option to prevent the Mother's Maiden Name, Race, Ethnicity, Sex, etc., from being overwritten with null values. Deduplication patients and ownership triggers are also included. Note that if this option is enabled, users cannot clear values. Instead, they must replace a value in order to make a change.

Enable Birth Date Warning

Select this option to allow the birthdate warning to appear when conflicting vaccinations and birthdates exist. This option forces the user to make a decision to solve the conflict and determine whether the vaccination shot date or the birthdate is correct. The vaccination date cannot be changed after the date of an administered vaccination.

Enable Block Overwrite of Short names During Batch Import

Select this option to prevent short names from overwriting full names during a batch DTT/HL7 import. For example, if a patient record for "Chris" is imported, the short name of "Chris" does not overwrite the full name of "Christopher." This applies only to truncated names. Thus, Jenny does not overwrite Jennifer, because "Jenny" is not fully contained within "Jennifer".

Enable Custom Search by Organization (IRMS) Patient ID For

Select the Organization (IRMS) from the drop-down list. This option allows a custom/configurable search field to display on the Patient search page. This field is used in conjunction with the Custom Search label. These two fields should be configured at the same time.

Note icon If duplicate PIMS IDs are in the database but owned by different Organizations (IRMSes) and this option has a defined Organization (IRMS), the result is limited to the Organization (IRMS) selected here.

Enable Master Patient Data Access

Select this option to allow public health users to view private fields for other Organizations (IRMSes). This option works with the Master Patient Data Access permission. This permission can be assigned to Facility Client/View, IRMS Client/View, or Registry Client/View users. This permission:

  • Switches Patient Demographic Detail/Edit to Master View

  • Displays View Address History on Patient Demographic Detail page

  • Patient Changes Report and Patient Queries Report

  • Manual Deduplication in the Administration menu (both Batch and User Report) only for IRMS Client and Registry Client users (not Facility Client/View users) display. The Organization (IRMS) drop-down lists are restricted to the user's Organization (IRMS) or the ones belonging to the user's Organization (IRMS) Group.

  • Separate Bad Merges in the Administration menu.

If this option is granted, all fields on the Patient Demographics page display the fields from the Master record.

  • If multiple addresses and/or multiple guardians are enabled, the addresses/guardians that display are the current owner's data.

  • Displays Patient Demographic Master View page instead of Patient Demographics page.

  • Patient address history displays at the bottom of the page with the street, city, state, and zip code compressed into one field: Full Address. The phone number also displays.

  • If the user views the Master record and edits it, they can assume the master data and their edit page are populated with the master data (i.e., the data that is displayed on the Patient Demographics page), not their current Reserve/Private data. The edits save into the Reserve record for the user's Organization (IRMS) and the Organization (IRMS) takes ownership if ownership is allowed.

Enable MyIR

Select this option to enable MyIR access.  Also enter the root level URL in the Registry Settings > MyIR Root URL field.

Enable Organization (IRMS)/Facility Settings for Opt-In/Opt-Out of State-Wide Reminder/Recall Activities

Select this option to allow Organizations (IRMSes) and Facilities to opt their patients in or out of state-wide reminder/recalls. If this option is enabled, the Opt-In/Opt-Out option is displayed on the Organization (IRMS) and Facility pages. See Reminder/Recall Opt-Out for more information.

Enable Prevent Unnamed Baby from Overwriting Demographic Information

Select this option to prevent incoming unnamed babies (BABY, BABY BOY, BABY GIRL, NEWBORN, BOY, GIRL, FC1, FC2, FC3, MC1, MC2, MC3) from overwriting demographic information. This option operates as if the user selected the Do Not Overwrite Demographic Information option when importing via DTT.

Enable SSN Options

Select this option to display the social security options on the Patient Demographics page. The information can be stored as full SSN, Last 4 Digits, Decline to State, or Unknown.
Note icon If this option is enabled and the SSN is set so that it is required, the Decline to State and Unknown options become invalid; the user must select either SSN or Last 4 Digits.

Enable Warning When a Patient's Sex is Changed

Select this option to display a pop-up warning when a patient's sex has been changed.

Ignore Required Fields for Inactive Patients

Select this option to ignore required fields for inactive patients.

Include Anonymous Patients in Patient Detail Report

Select this option to allow patients that were entered as "anonymous" to be included on the Patient Detail Report. Anonymous patients are part of the opt-out functionality. They are created either by adding anonymous vaccinations or with the opt-out configuration that copies the opted-out patient to a different database.

Mask Display of Patient and Guardian Social Security Numbers

Select this option to suppress all but the last 4 digits of the patient and guardian Social Security Numbers.

Patient Search Barcode Button Text

Enter the label text to replace the barcode button text that displays on the Patient search pages in standard IWeb and Mass Immunizations. For example, the button label text can be changed to "Scan Driver's License" to clarify the type of barcodes that this workflow represents. The default is "Capture Barcode." Note that the Registry Setting > Enable Barcode Tools option must be enabled in order to display the barcode buttons.

Prevent Display of Patient and Guardian Social Security Numbers

Select this option to completely hide Social Security Numbers from displaying for patient and guardian on the Patient Demographics page.

Prevent Reactivation of Deceased Patients

Select this option to prevent a user from reactivating any deceased patients.

Single patient returned from Patient Search opens Demographics page

Select this option to allow the Patient Demographics page to display (instead of the search results) when there is only one patient returned from a search. If this option is not enabled, a single result appears in the search results list, forcing the user to select the patient in order to open the Patient Demographics page.
